Terms of Service
Last updated 3 October 2026
These terms are the agreement between you and Varaxis for using Varaxis Scholar. By creating an account or using Scholar you agree to them. Please read them with the Privacy Policy, which explains how we handle your data.
Who can use Scholar
You can use Scholar if you are 18 or over, or if you are younger and a parent or guardian has agreed to it, or your institution provides it to you. If you are a parent or guardian agreeing for a child, you accept these terms on their behalf.
What Scholar is
Scholar helps institutions run courses, attendance, marking and grades, and helps students plan their work. We keep improving it, so features may change. If we remove something important we will tell you in the app with reasonable notice where we can.
Your account
- Give accurate details, and keep your password to yourself.
- One person per account. You are responsible for what happens under yours.
- Tell us straight away if you think someone else has got into it.
If your institution provides Scholar
Your institution decides your role, which courses you are in, and whether you keep access. Its own rules — including on the use of AI in coursework — apply alongside these terms. If you leave, it may remove your access to its courses; your own homework and timetable stay yours.
Using Scholar properly
Don’t use Scholar to:
- break the law, or upload anything you don’t have the right to share;
- harass, bully or threaten anyone, or post hateful or sexual content;
- get into accounts, courses or records that aren’t yours;
- interfere with Scholar — malware, overloading it, or getting around its security;
- copy or resell Scholar itself.
We may remove content or suspend an account that breaks these rules. Unless the law stops us, we will tell you why, and you can reply to us about it.
Your content
What you put into Scholar stays yours. You give us permission to store it, process it and show it to the people it is meant for — only so we can run Scholar for you and your institution. That permission ends when you delete it, except for copies your institution keeps as its own records.
AI features
AI suggestions and summaries can be wrong. Check anything that matters, and follow your institution’s rules on AI. If you connect your own AI provider account, that provider’s terms apply and it may charge you for usage; Scholar does not, and you are responsible for your key and what it is used for.
Price
Scholar is free to use. There are no hidden fees and nothing is charged automatically. If we ever offer paid plans, the full price and what it includes will be shown before you agree to pay, and the refund policy will say how refunds work.
Our software and brand
Scholar’s software, design and the Varaxis and Scholar names and marks belong to Varaxis. Open-source software and fonts in Scholar are used under their own licences, listed on the licences page.
Stopping
You can stop using Scholar and delete your account at any time from Settings. We may end or suspend an account that seriously or repeatedly breaks these terms, or if the law requires it.
Our responsibility to you
We work hard to keep Scholar available, correct and secure, but we provide it “as is” and can’t promise it will always be uninterrupted or error-free. Keep your own copy of anything you can’t afford to lose. To the extent the law allows, we are not responsible for indirect or consequential losses.
Nothing in these terms limits any liability that cannot be limited by law, or takes away rights you have as a consumer where you live.
Changes to these terms
If we change these terms in a way that matters, we will tell you in the app before the change takes effect. If you don’t agree, you can stop using Scholar and delete your account.
